Ayn Academy operates in the training and knowledge-development sector, delivering live and recorded courses that build trainees' skills in critical thinking, reading, and leadership. Founded in 2020 and based in Istanbul/Turkey, the academy had grown to serve more than 3,500 trainees, but its systems hadn't grown with it. Trainee records, marketing lists, and course progress all lived in disconnected Excel spreadsheets.

Digital Era Hub partnered with Ayn Academy to design a Zoho ecosystem built around the trainee, not just the data. By connecting Zoho CRM with Zoho Campaigns, Forms, and Analytics and layering in a fully custom gamification system for the academy's "Reading Map" program, Ayn Academy moved from static spreadsheets to a living system that unifies trainee data, automates marketing intelligently, and turns the learning journey itself into something trainees want to engage with.

The Challenge

Before working with Digital Era Hub, Ayn Academy ran entirely on manual processes and Excel spreadsheets. As the academy grew, that system became a bottleneck rather than a foundation. Four issues stood out:

  • Blind data fragmentation: more than 3,500 contacts managed with no historical record of each trainee's training path.
  • Operational time drain: Team's time consumed by manual data entry, registration, and follow-up.
  • Marketing sent blind: with no client segmentation, the same trainees received repeated, irrelevant campaigns, frustrating the audience and dragging down conversion rates.
  • Static, unmeasurable learning paths: advanced programs like "Reading Map" had no way to track trainee progress or performance, and no built-in incentive to keep trainees engaged.

Why It Mattered

For a training academy, the trainee journey is the product. Every duplicate contact, every misfired marketing email, and every learning path with no visibility into performance chips away at the experience the academy is actually selling. Left unaddressed, that gap wouldn't just slow the team down, it would cap how many trainees Ayn Academy could serve well at once, forcing a choice between growth and quality.

The academy needed a system that treated the trainee as the center of every interaction, not a row in a spreadsheet, one that could scale with 3,500+ trainees today and keep working at 10,000 or more.

The Solution

Digital Era Hub's assessment found the root problem wasn't a lack of data. It was that the data was isolated. Marketing, registration, and course content operated as disconnected departments, and that disconnection showed up directly in the trainee experience. The architecture we built closed those gaps:

  • Zoho CRM as the single source of truth: a unified database holding every trainee's history, interests, and completed courses, with live dashboards giving the academy's leadership real-time visibility.
  • Zoho Campaigns, connected directly to CRM data: enabling true audience segmentation, so campaigns go out based on actual trainee behavior instead of blanket sends. This is what eliminated the spam-marketing problem at its source.
  • A custom-built gamification layer for the "Reading Map" program: we re-engineered the program inside Zoho CRM as an automated system divided into 7 interactive "worlds." The system tracks each trainee's tasks (readings, summaries, articles), awards points automatically by using Zoho Form for submission, and surfaces a live leaderboard to drive friendly competition and engagement.

Implementation took 8 weeks across three phases: migrating and cleaning 3,500+ contacts out of Excel and into Zoho CRM, building and testing the gamification mechanics for Reading Map, and sending the first newsletter from Zoho Campaigns. 

Results

The move to a fully architected Zoho environment delivered measurable change across operations, marketing, and trainee engagement:

  • Operational efficiency:  Manual admin work was freed up, letting the team focus on course quality instead of data entry.
  • Marketing spam eliminated 100% reduction in repetitive, untargeted campaigns, with newsletter engagement up 60% following the switch to segmented sends.
  • Trainee engagement, transformed thanks to the gamification system and Reading Map leaderboard, trainee engagement increased significantly.
